Please review the following instructions to ensure the smooth running of the sessions:
- Session Assignment: Check the program carefully to identify the session(s) you have been assigned to chair. If you are unable to chair any of your assigned sessions, please arrange for another participant in the session to take on the role.
- Equipment: The session chair brings a computer to the conference.
- Arrive to the session room at least 10 min before the session start. Check so all PowerPoint presentations are uploaded on your computer. Check and test the devices.
- Preparation: The session chair contacts the participants of the session(s) prior to the conference and request that they send their PowerPoint presentations to the chair. These presentations should then be uploaded on the chairs computer in advance.
- Presenters meeting 10 min before the start. Check that all presenters are present and know the schedule and time restrictions. This a good time to inform that the schedule will be strict. If time is not kept a presentation will be cut to end.
- Session Timing: Each session is scheduled for one and a half hours (90 min). This allows for 20 minutes of presentation and 10 minutes of discussion per paper. If there are four papers in a session, allocate approximately 3 minutes for discussion per paper. We recommend that questions are addressed following all the presentations.
To be able to do to a presentation the minimum requirements are the following:
Connection to external screen: HDMI, Displayport or USB-C port on the computer. We have no way to do presentations using analog outputs like VGA.
When using your own computer, make sure that only the essential programs are running and restart your computer at the beginning of the day you are to do a presentation.”
Additionally, there will be a volunteer allocated to each room to assist with any technical issues or other problems that may arise.
